Zoho to Sugar Migration Case Study
The client is Austin, Texas based commercial rugs and carpet cleaners which had been using ZohoCRM for contact management and sales force automation needs. Due to business expansion the organization wanted customization in areas of customer service, project management, geo-management services. The CRM user base was expected to scale up from the 5 to 25 within 1 year. The organization was finding it difficult to expand and get its entire business process managed within ZohoCRM.
The management decided on migrating to SugarCRM due to scalability and flexibility offered by the solution and also due to ecosystem around the platform.
The project involved the following migration steps
Step 1. Customizing SugarCRM
The SugarCRM instance was enhanced to match customization done in Zoho as well as to take care of various pain points and added functionality required in the application as per the needs of business users.
Step 2. Development of Workflows and Schedulers
A high degree of process automation was achieved by using both schedule based and event triggered workflows in the system. It was meant to cut down the overall lead time as well as increase the collaboration between the departments.
Step 3. Custom Dashboard and Report developments
Customized dashboards were created to bring out the salient statistics and KPI figures to the business users. It brought the figures in a manner which the team could appreciate and assimilate to take further actions.
Step 4. Data Migration
We used Talend to transform the data and map them from Zoho’s structure to the required structure in SugarCRM. Import consisted of data in the tune of 30,000+ leads / contacts. Various alerting mechanism was turned off to ensure that there were no alerts during this process.
Step 5. Data Validation
Data sanctity was checked in two rounds both by the project team and respective business users to ensure the completeness data migration. It may be noted that during this process, data cleansing was also done to purge the un-required duplicates.
Step 6. Post Go live and Support
Non –critical Enhancements were taken after the migration was over. During the course of using SugarCRM, business users raised further requirements, this was met in this phase of the project.
